We are looking for an energetic and organized Office Manager for our office in Cluj-Napoca, where you will work in a friendly environment, in a cozy brand new office at Hexagon Offices, with great colleagues around, enjoying friendship, empathy and support for who you are and what you want to achieve. This is a versatile job, with responsibilities ranging from day to day activities at the office, general HR and financial administration to executive support for the management team. Only candidates from Cluj-Napoca will be considered. We are currently working remotely, but office attendance will be required for the person holding the position.

Responsibilities

  • Responsible for the day to day running of the office
  • Ordering and stocking office supplies as required
  • Be the first point of contact for visitors in the office
  • Organizing travel arrangements for our office employees
  • General administrative support including photocopying, printing and scanning
  • Organizing internal events – teambuilding, Christmas Party
  • Keep in touch with customers and suppliers, maintaining the contracts database up-to-date
  • Deal appropriately with sensitive and confidential matters
  • Implementing and maintaining procedures/office administrative systems;
  • Provide assistance in organizing the hiring process, organizing interviews
  • Responsible for the private health insurance package, private pension package, keeping it up-to-date
  • Maintaining an up-to-date database of employees, resumes
  • Checking invoices from suppliers
  • Cash management

Requirements

  • A minimum of 3 years experience in a similar role
  • Bachelor Degree in Economics or similar
  • High values of discretion and confidentiality
  • Excellent communication and interpersonal skills
  • good interpersonal and time management skills, meticulous and creative
  • Problem solving skills, initiative and leadership and the ability to ‘make things happen’, attention to datails
  • Knowledge of MS Office package
  • English language - Advanced
  • German language is a strong plus
